Simple systems to help insurance, paperwork, and care feel manageable

A new year is a perfect moment to refresh your systems and prepare for what’s ahead. Insurance benefits reset, deductibles restart, and therapy schedules often shift. A little organizing now can save you frustration later and help you feel more grounded as the year gets moving.


Here’s a simple way to start strong.


📝 Review your insurance plan for the year ahead

Take a few minutes to look at your Plan Summary. Focus on the essentials.

  • What is covered In-Network and how many sessions are allowed each year
  • What counts as Out-of-Network, and the deductibles for each
  • How coverage changes once deductibles are met
  • Your maximum out-of-pocket limit


Understanding these pieces helps you choose providers with more confidence and anticipate early-year expenses.


📂 Refresh your filing system

Create a new main folder for 2026 (or the year you are entering), either digitally or in a physical binder. Inside, set up a subfolder for each provider.

Include:

  • Session notes and at-home recommendations
  • Invoices
  • Optional EOB copies if you prefer everything in one place


If you use out-of-network providers, set up a simple tracking spreadsheet now. It will help you follow claims, see what has been applied to your deductible, and avoid unnecessary backtracking later.


✏️ Take cleaner notes from the start

Begin the year with a fresh notebook or a dedicated digital space. Each time you call a provider or your insurance company, record:

  • Date and time
  • Name of the representative
  • What you were told
  • Any next steps to expect

Choose a method your whole family can rely on.

  • Shared phone calendar
  • A wall calendar in a central spot
  • Any system that keeps everyone in the loop


Be sure to account for travel time and any new therapies or evaluations you expect to begin.


🔑 Remember your secret support

Many insurance plans offer Case Managers who help families understand their benefits, coordinate care, and, in some cases, negotiate exceptions. Request one early in the year. It can make a meaningful difference in cost, clarity, and overall support.
